Reserving/Managing Rooms in Rossier office365

This article describes how to use the room booking resource in office365, to allow rooms to be reserved for conferences, meetings, and other events.

Booking Rooms for meetings

Room booking in outlook can be set up in two different ways

Auto- Accept: With this option all requests for room bookings are automatically accepted, based on the room availability.

Delegated: With this option all requests for room bookings must be approved or denied by the Room manager/delegate.

 

Delegated Rooms

A delegated room has one or more users who are responsible for accepting and declining all booking requests. It is recommended to assign one main room manager/delegate and at least one alternate to ensure all requests are processed. 

Managing Delegated Rooms:

For delegated rooms, all requests for room bookings must be accepted or declined by the room manager/delegate. As a room delegate, you are responsible for who has access to the room and when. The room delegate will receive invitation emails from office365exchange system, whenever a room booking request is sent. The Delegate will then accept or decline the meeting invitation on behalf of the room. All pending and accepted room requests will appear on the room calendar. 

Room Calendars:

All room resources have their own calendar, which can be viewed just like your personal calendar. When a booking request is accepted, an event is added to that room's calendar. The room calendar allows you to create new bookings, review and edit current room bookings, and accept or deny pending bookings. As a Room delegate you can access this calendar from outlook 2010, outlook 2011, outlook 2013, or from the Rossier office365 OWA(outlook Web Access). Your Delegated calendar will be listed in the calendar section of outlook under Rooms.
